Meeting and event venue data: capacities, packages and room rates for event dates

Meeting and event venue data combines public venue listings (capacities, room set-ups, day-delegate packages) with the public hotel rates around the dates you are planning. It gives a planner a benchmark before the request for proposal goes out.

  • Venue-sourcing platforms

The short answer

  • Most venue prices are negotiated, but listings, capacities, published day-delegate rates and nearby hotel rates are public and comparable.
  • ICCA counted 11,099 rotating international association meetings in 2024; Germany hosted 491 and the UK 481.
  • Berlin alone had 442 event venues with at least 100 seats in 2025, including 133 conference hotels. Sourcing at that scale needs structured data.
  • Do not submit enquiry or RFP forms to harvest quotes. Collect what venues publish, and send real enquiries only for real events.

The problem

What goes wrong without the right IPs

Capacities depend on the set-up

A room that seats 400 theatre-style seats perhaps half that at banquet tables. A single "capacity" figure is useless; store capacity per set-up.

Packages hide what is included

Day-delegate rates may include room hire, coffee breaks, lunch and basic AV, or only some of them. Compare packages field by field, not by headline price.

Group rates are not public

Room blocks for attendees are negotiated. What you can observe is the public rate for the same dates, which is the benchmark the negotiation starts from.

Event dates collide

If a large fair or congress is in the city on your dates, both venues and hotels are scarce and dear. Check the city's event calendar alongside the venue data.

What to collect

What you can collect

Venue identity
Name, type (congress centre, conference hotel, event location), address, distance to transport.
Meeting rooms
Room name, size in square metres, ceiling height, daylight, divisibility.
Capacity by set-up
Theatre, classroom, banquet, reception, U-shape, each as its own number.
Published packages
Day-delegate or half-day rates where published, with what each includes.
Bedrooms on site
Number of bedrooms for conference hotels, and accessible rooms.
Hotel rates for event dates
Public rates of nearby hotels for the event nights, as a room-block benchmark.
Sustainability and accessibility
Certifications and step-free access as stated, increasingly part of association RFPs.

How it runs

How a collection run works

  1. 01

    Build the venue register

Collect venue listings from venue sites and public directories in your target cities, and deduplicate them into one record per venue.

  2. 02

    Extract rooms and set-ups

Parse capacity charts into one row per room and set-up. Many venues publish them as tables or downloadable fact sheets; keep the source document URL.

  3. 03

    Price the event nights

For each candidate city and date range, shop public rates for hotels near the shortlisted venues, from the attendees' main markets.

  4. 04

    Score the shortlist

Rank venues on fit (capacity per set-up, breakout rooms), published package value, and the median public hotel rate within walking distance on the event nights, collected with the hotel rate shopping method.

Setup

In depth

Meeting and event venues, in depth

The size of the meetings market you are sourcing in

ICCA's 2024 Country and City Rankings count 11,099 international association meetings, 9% more than in 2023 but still below the 13,269 of 2019. The United States led with 709 meetings, followed by Italy, Spain, Germany with 491 and the United Kingdom with 481. ICCA counts only meetings of associations with more than 50 participants that rotate between at least three countries, so corporate events and many national congresses come on top.

Supply is just as large at city level. Berlin's 2025 statistics list 442 event venues with at least 100 seats in the largest hall: 22 event centres, 133 conference hotels and 287 event locations. Small meetings dominate: nearly two thirds of conferences, meetings and seminars in Berlin had up to 100 participants, against 71.5% nationwide.

Public rates for the event nights are the planner's best independent benchmark for a room-block offer. If a city has a large fair on the same dates, the trade fair hotel prices method shows how far rates move.

Turning listings into comparable venue records

  • One record per venue, many rows per meeting room; match the same venue across directories with the techniques in deduplicating listings.
  • Capacities per set-up as numbers, not text, so a planner can filter for a 300-seat theatre with six breakout rooms.
  • Package contents as booleans (coffee breaks, lunch, AV, Wi-Fi) next to the published rate.
  • A last-checked date per record; venues renovate and rename rooms.

Responsible venue research

  • Collect only what venues publish on public pages and fact sheets.
  • Never submit enquiry, RFP or availability forms to extract quotes for events that do not exist; it wastes venue sales teams' time and misrepresents demand.
  • Keep request rates modest and read each site's terms; see collecting travel data responsibly.

FAQ

Questions

Something not covered? Write to contact@arcproxies.io.

What is a day-delegate rate?

A day-delegate rate is a per-person, per-day package price for a meeting, typically covering room hire, refreshments, lunch and basic equipment. What is included varies by venue, so compare packages by their contents, not only by price.

Can I collect group hotel rates for an event?

Not from public pages; group rates for room blocks are negotiated. You can collect the public rates for the same hotels and nights, which are the benchmark a planner uses when assessing a room-block offer.

Which venue fields matter most to planners?

Capacity per set-up, number and size of breakout rooms, published package contents, bedrooms on site or nearby, transport access and accessibility. Store each as its own field so venues can be filtered and compared.

Why check hotel rates from the attendees' countries?

Because attendees book from home, and rates and tax display can differ by the visitor's country. A benchmark from the attendees' main market is closer to what they will pay than one from the host city.

How large is the international association meetings market?

ICCA counted 11,099 rotating international association meetings in 2024, up 9% on 2023 but below 2019's 13,269. Germany hosted 491 of them and the United Kingdom 481.
